    "Let's create a new account!"
    "Er, no!"

Why a minimalist chart of accounts in Odoo makes sense

    PURPLE FINANCE BLOG

    "Let's create a new account!"
    "Er, no!"

Why a minimalist chart of accounts in Odoo makes sense

    August 2025   |   Finance & Accounting

In the everyday life of many accounting departments, it sounds quite harmless: ‘Let's quickly create an account for this new type of turnover.’
But what seems like a pragmatic step at first glance can become a real problem in the long term.
Especially in Odoo, where the German SKR03 or SKR04 charts of accounts are used as standard, the chart of accounts is already extensive - especially for tax accounts such as ‘Revenue 19 %’, ‘Revenue 7 %’, etc. If a separate account is then created for each speciality, the result is quickly oversized and cumbersome. If a separate account is then created for each speciality, this quickly results in an oversized, cumbersome chart of accounts that causes more problems than solutions.

The problems of an overloaded chart of accounts

A chart of accounts that is too large not only leads to more complexity, but also directly to the following challenges:
    • Accountants lose the overview
    •  Financial reports become confusing
    •  Maintenance and coordination is becoming more complex
    •  Many accounts are redundant or unnecessary
Odoo already offers powerful alternatives with which a wide range of analyses and differentiations can be mapped cleanly without new accounts.

    Better alternatives for differentiation

Instead of creating an additional account for each new sales type or product, you can use existing dimensions in Odoo - leaner, more flexible and future-proof:

    Tax codes and tax keywords

Allow a clear separation of tax matters - without separate accounts for each VAT type.

    Products and product categories

The easiest way to analyse sales by article or group - directly from the product configuration.

    Product tags

Enable flexible grouping according to your own criteria - ideal for customised reports without additional work in accounting.

    Partners and partner tags

Ideal for evaluating sales by customer group or business relationship – without additional accounts.

    Relationship fields in posting lines

Odoo allows you to include almost any field from related records in bookings – for evaluations directly at the booking level.

Recommendation: A minimalist chart of accounts

    Less is more.
Before creating new accounts, the existing chart of accounts should be analyzed and streamlined at the start of an ERP project.
A well-thought-out, minimalist chart of accounts:
    • makes daily work easier
    • reduces sources of error
    • simplifies coordination with the tax advisor
    • accelerates evaluations and monthly closings

    Exception: Intercompany accounts

Of course, there are sensible exceptions.
Intercompany transactions should generally be recorded in separate accounts. This facilitates:
    • the consolidation
    • the group delimitation
    • and coordination with affiliated companies
Here, a separate account area for intercompany postings provides real clarity—and is absolutely justified.

    Conclusion

An overloaded chart of accounts is usually a sign of poor planning—or outdated ways of thinking.
With the right tools in Odoo, all modern accounting requirements can be mapped with a streamlined, efficient chart of accounts.
A well-structured chart of accounts is not just a technical foundation—it is a decisive factor for transparency, efficiency, and future-proofing in financial accounting.
