What companies need to know about the mandatory introduction
Januar 2025 | Finance & Accounting | ERP
From January 2025, invoicing for companies in Germany will change fundamentally: e-invoicing will become mandatory. The legislator's aim is not only to drive forward digitalization, but also to make processes more efficient and transparent. However, many SMEs are facing the challenge of converting their existing systems in good time. A lack of preparation can not only cause costs, but also lead to legal consequences. In this article, you will learn what the introduction of e-invoicing means for your company and how ERP systems such as Odoo can make the transition easier.
What is the e-invoice and why is it mandatory?
The e-invoice is a machine-readable, standardized invoice format that uses formats such as XRechnung and ZUGFeRD. Compared to paper invoices or simple PDFs, it enables automated processing and reduces manual input. The aim of the introduction is to make accounting processes more efficient, minimize errors and promote digitalization. The e-invoice also prepares for a planned EU-wide VAT reporting system.
What challenges does the e-invoice bring?
Technical adjustments: Companies must ensure that their IT and accounting systems support the new requirements.
Legal compliance: Invoices must be created in compliance with GoBD and stored in an audit-proof manner.
Employee training: Targeted training is necessary in order to implement the new processes efficiently.
What advantages does the e-invoice offer?
Increased efficiency: Automated invoicing processes save time and minimize errors.
Cost reduction: Faster processing reduces administrative work and cuts costs.
Consistency: Standardized formats facilitate the exchange with authorities and business partners.
How do ERP systems like Odoo provide support?
Modern ERP systems such as Odoo facilitate the introduction of e-invoicing by:
Automated creation and processing: Invoices are created and sent directly in the XRechnung or ZUGFeRD formats.
Data transfer with Peppol: The simplest Odoo setup from v17 is the interaction with Peppol. Peppol handles the data transfer for both incoming and outgoing invoices. Peppol ensures 100% data integrity and is integrated into Odoo completely free of charge. The following e-invoice formats are supported by Peppol: BIS Billing 3.0, XRechnung CIUS, NLCIUS, making OCR recognition largely obsolete.
Flexibility and scalability: Odoo adapts easily to future changes and growing requirements.
